When a principal was created, 12 tasks for the upcoming months were automatically created and tracked in the system. Users could manually update the task status, ensuring that milestones were met on time.
- Zoho Campaigns Integration: By integrating Zoho CRM with Zoho Campaigns, the firm was able to send regular mailings to clients and their families and professionals. This allowed for consistent communication with minimal manual effort.
- Document Management with Zoho WorkDrive: Custom functions were used to automate the creation of folders and subfolders in Zoho WorkDrive whenever a principal was created in Zoho CRM. This ensured secure and organized document storage for each client.
- CRM and Books Integration: A custom function was developed to automatically update the primary contact in Zoho CRM by verifying the email in Zoho Books. This ensured data consistency between the two systems.
Implementation
The implementation of the Zoho CRM and its integrations was carried out in several stages:
- Customization of Zoho CRM: The lead module was restructured to include three sections: lead information, referred by details, and decision maker details. The custom button for converting leads into principals and contacts was also set up, making the conversion process seamless.
- Task Management Setup: For each new principal, 12 recurring tasks were automatically created using Zoho CRM’s custom function. This allowed the team to track milestones and ensure tasks were completed on schedule.
- Zoho Campaigns Integration: Zoho CRM was connected to Zoho Campaigns, enabling the synchronization of contacts, principals, and leads. This integration allowed the firm to send monthly mailings to families and professionals.
- WorkDrive Integration: Custom functions were created to automatically generate a principal folder and corresponding subfolders in Zoho WorkDrive. These folders were named according to the client’s details, ensuring easy document management.
- Data Synchronization with Zoho Books: A custom function was set up to verify emails in Zoho Books and update the primary contact field in Zoho CRM, ensuring data accuracy and synchronization between both systems.
